For Database Users
What does this database do?
A workgroup can use this database to share their thoughts and ideas. Almost any group that has information to share among its members can use a discussion database. An engineering group can discuss the products they are designing. An advertising agency can discuss the ad campaigns they are developing. A special interest group can share ideas and opinions on their common interests.
To get started, a user can simply browse through the topics for discussion and responses that others have contributed. This is particularly useful for new members of a workgroup who need to come up to speed on the important issues that the group is working on. The history of discussion about these issues is preserved in the group's discussion database.
A user can also take a more active role in the discussion by composing his own responses to others' comments and by proposing new main topics for discussion.
You can think of a discussion database as an informal meeting place, where the members of a workgroup can share ideas and comments. Like a physical meeting, each member of the workgroup listens to what others have to say and can voice his own opinions. However, unlike a physical meeting, the participants do not have to be in the same room at the same time to share information. People can participate when it is convenient for them to do so. And because it is easy for them to share information, they will do so.
Who will use this database?l
All the members of a workgroup should use the group's discussion database. Some users will just follow the main topics and responses that other members have contributed. More active users will compose their own main topics and responses.

Participants in the discussion can share information using this forum without having to travel to an agreed-upon location at an agreed-upon time to discuss a limited agenda. This is particularly important to workgroups whose members do not all sit next to each other. The members of a workgroup may travel frequently, they may not all work for the same boss, in the same department, or even the same company!
Members do not have to wait for the next group meeting to raise, discuss, and resolve important issues.s
For Database Managers
You should distinguish between two versions of this database:$
1. The original Template database.e
To help you with developing Notes applications, there are several Template databases that come on the diskettes. If you choose to have these copied to your personal Notes directory during the install, then you will have your own copies. You can find them by looking for files with the .NTF extension. (Regular Notes databases have the .NSF extension.)
If you do not have the Templates in your local Notes directory, they will likely be on one of your Notes servers. These public templates can be accessed from a Notes server (by following the instructions below).
Whatever the location of your Template files, you will most likely not want to modify these databases directly. If the design of a template does not meet your individual requirements exactly, first create a database from the template and then make design changes to the database you have created.
2. The database you can create based on this Template.
To create a new Notes database from a Template, you select
File, New Database...
On the left of the New Database dialog box you will see a list of Templates. These are the .NTF files Notes found in your personal Notes data directory. If you want to access Templates from your server, click on the
Template Server...
button and select the server containing the template you want. Then specify the server, directory, and file name of the new file you are making. Click on
to make the database.
You will have to make the following changes to your new database:
Set Access Control List
- Identify the users of the application and the access level each will need. List the name of each user and user group in the Access Control List accordingly.
The users of a Discussion database fall into two categories: Database Administrators and all other Users. Database Administrators should have `
Manager
access to the database. This allows them to manage the Access Control List for the database and make any required design changes. All other Users should have at least
Author
access. (This will be the default access of the database created with the template.) This allows them to compose their own documents. If you want to limit this database to only members of a certain user group, the

, and members of the user group will need to be listed in the Access Control List as either individuals or groups with

access.

Keyword Field
- The keyword field in this template uses the keyword formula
. When a new document is created and a user presses ENTER on the keyword field, Notes performs a "lookup" on the categorized view, and presents the user with the categories which appear in the first column of that view.
If you prefer, you can customize the keyword list so that it contains only a finite list of keywords. In the Design Keyword Format dialog box, you would type in the keyword list, and then select "Text" instead of "Formula".
The following table lists each of the keyword fields in the database. Review the keyword list for each field to be sure it is appropriate for your work group. Change the keywords as necessary.

KEYview integrates with Lotus Notes through a SmartIcon, on the toolbar. The rest of this note explains how to install the Lotus Notes integration of KEYview.
Installing KEYview for Lotus Notes
To install KEYview for Notes, you must first install KEYview itself. Your system administrator can provide you with the installation disks, or point you to a network copy of KEYview. The KEYview installation tool will automatically detect that you have Lotus Notes installed on your system, and will install the files needed for integrating KEYview with Notes. Once you have installed KEYview, you must exit and restart Notes, so that it will see the new KEYview tools.O
The KEYview installation program will add two Lotus Notes environment variables to your NOTES.INI file. One is called
$KWKeyview
and will direct the KEYview SmartIcon to the directory where KEYview resides (e.g.
$KWKeyview = D:\keyview4
) . The other is called
$KWTemp:
and will direct the KEYview SmartIcon to the temporary directory on your client machine (e.g.
$KWTemp = D:\windows\temp
). If, per chance, either one of these directories changes since the installation of KEYview, you can modify your NOTES.INI file (found within your Microsoft Windows directory) such that these two environment variables point to the appropriate directories.
The installation of KEYview for Notes includes a toolbar called Reading/Viewing. To select this new toolbar, click on the toolbar icon in the lower right corner of your Notes window- it looks like three blue squares in a row. It will show you a list of the names of the toolbars it found. If KEYview is properly installed, you will see the name Reading/Viewing on this pop-up list. Click on Reading/Viewing, and the new toolbar will appear, with the KEYview SmartIcon at the left. It looks like a magnifying glass over
. When you click on the KEYview icon, it tells Lotus Notes that you want to view any documents that are attached to the current note.

. Drag it from the Available Icons list to the list of SmartIcons to the right, positioning it where you would like it to appear on your toolbar. Click on OK to complete the action.
